Quick Answer

Select multiple content items at once to delete, move to a campaign, or export them in bulk. On the Dashboard click Select, check the items you want, then choose Delete, Move to Campaign, or Export from the action bar that appears.

When your library grows, managing items one at a time gets tedious. Bulk operations let you select multiple NPCs, encounters, plots, or any other content and act on all of them with a single click.

Entering select mode

Bulk operations live on your Dashboard (the main content library page). To start selecting:

  1. Open the Dashboard.
  2. Click the Select button in the top-right corner of your content list. Each card gains a checkbox with a "Select" label.
  3. Click any card's checkbox to select it. The checkbox turns filled and the label changes to "Selected."
  4. When you're done, click Cancel to leave select mode without making any changes.

Selection resets automatically when you switch content type filters or association tabs.

Selecting items

Individual items: Click a card's checkbox to select or deselect it.

Range selection: Click one checkbox, then hold Shift and click another. Everything between them is selected.

Select all: When in select mode, a Select All checkbox appears in the toolbar next to the Batch Actions button. Click it to select every visible item (up to 500). If some but not all items are selected, the checkbox shows an indeterminate state — clicking it selects all.

Maximum: You can select up to 500 items at a time.

Available bulk actions

Once you have at least one item selected, the Batch Actions button becomes active. Click it to open the action menu.

Delete

Removes the selected items from your library. A confirmation dialog appears first, giving you two options:

  • Soft Delete — moves items to the Recently Deleted view, where they can be restored. This is the safer choice if you're not certain.
  • Hard Delete — permanently removes items. This cannot be undone.

To view and restore soft-deleted content, use the Recently Deleted toggle above your content list.

Add to Campaign

Links the selected items to one of your existing campaigns. Choosing this action opens a campaign picker listing all your campaigns. Click a campaign name to add all selected items to it. Items already in that campaign are not duplicated.

If you need to remove items from a campaign, open the campaign itself and use the same bulk select flow — the "Remove from Campaign" option appears in the Batch Actions menu when you're inside a campaign context.

Export

Downloads the selected items in your chosen format. Open Batch Actions, hover over Export, then pick a format from the submenu:

FormatWhat you get
JSONStructured data, good for backups or importing into other tools
CSVSpreadsheet-friendly, useful for overviews and sharing
MarkdownPlain text, readable in any text editor or note-taking app
PDFFormatted printout — requires a Solo, Pro, or Studio subscription

For large selections, the export may run in the background. You'll see a notification when it's ready.

Tips for managing a large library

Use the association tabs to focus your work. The tabs above your content list — All, Independent, In Campaigns, Shared (2+) — let you narrow down to just the items you want to act on before entering select mode.

Filter by campaign before removing. If you want to clean up a specific campaign, filter to "In Campaigns," select the campaign from the campaign dropdown, then use bulk select to remove the right items.

Soft delete first, hard delete later. When clearing out a big batch you're not sure about, soft delete it. Check the Recently Deleted view a few days later, restore anything you want back, then hard delete the rest.

Export before deleting. If you're removing a large batch permanently, run a JSON export first. It gives you a backup you can import later if needed.

Select all, then deselect exceptions. If most of a filtered list needs the same action, use Select All and then Shift+click or individual-click to deselect the items you want to keep. This is faster than selecting a large group one by one.

Troubleshooting

Batch Actions is greyed out. You need at least one item selected for the button to activate. Check that you're in select mode (checkboxes visible on cards) and have clicked at least one checkbox.

Some items failed. The toast notification will tell you how many succeeded and how many failed. Items you don't own, or items already in a deleted state, may not process. Try again with just the failed items, or handle them individually.

PDF export shows "Premium required." PDF export is available on Solo, Pro, and Studio plans. Use JSON or Markdown for equivalent data on any plan.

I selected 500 items but have more. The 500-item limit applies per operation. Run the action on the first 500, then repeat for the remainder.
